We are currently experiencing an unexpected issue affecting all downstream consumers reliant on HCM data from the UQ Integration Platform (DataHub) and Central Integration Platform (CIP).
As part of the MyTime@UQ Program / Aurion Connector Project 1, changes were applied to Workday IDs in the Workday production environment. Due to the way Workday data is extracted and made available to the DataHub, an unforeseen issue occurred, resulting in records not consistently reflecting the updated Workday ID values. Consequently, downstream systems have received a mix of both old and new Workday ID values, leading to data misalignment.
To prevent further propagation of incorrect data, Integration Services have disabled the relevant jobs. However, this means that downstream systems are now working with stale and inconsistent data. While changes have been made in the integration platform to address the issue, the inconsistency originates from Workday data extraction itself. Re-mapping the affected data entirely is not feasible. Therefore, a full data reload and validation process will be required before downstream data feeds can be re-enabled.
Next Steps
We are working closely with all impacted stakeholders to mitigate business disruption and support data requirements during this period. This issue is being treated as a critical incident, and we are engaging with the relevant vendor to resolve it as quickly as possible.
At this stage, we do not have a confirmed resolution timeframe. However, we are prioritising the delivery of temporary data solutions to support business continuity until a full reload can be successfully completed.

Thank you once again for your continued patience during this time.
The Data Services team has been actively working to implement temporary processes alongside critical systems and has further engaged with downstream consumers impacted by the service unavailability.
We are currently collaborating with PrISM and SiPass to ensure account creation and continued access for new hires, as well as employees whose terminations were rescinded; those who would not have been included in the now stale data feeds from Thursday, 25 September 2025, before the downstream feeds were disabled on Friday, 26 September 2025.
This service unavailability is being managed in line with our IT Incident Management Procedure. Given the scope of impact on other systems and the current academic calendar, we are prioritising all consumers but have assessed non-critical processes as medium to low risk. Other impacted services are either following additional processes to ensure continued access and permissions or implementing workarounds to minimise disruption to business operations. We acknowledge that this still affects consumers in terms of staff data not being updated, but critical processes remain the primary focus as outlined above.
We appreciate your cooperation with the temporary measures to reduce disruptions and encourage you to raise any concerns you may have.
Resolution Timeline and Action Plan:
We understand the impact on staff records and have prioritised critical account provisioning and access. Other services may experience interruptions, and we will continue to work closely with you to manage these.
The reload of data has been in progress since Wednesday, 1 October 2025. We anticipate that the reload, along with additional validation and processing to integrate the data back into the UQ Datahub, will be completed by Sunday, 5 October 2025. Given the public holiday in Queensland on Monday, we expect the data to be fully restored for all impacted consumers by Tuesday, 7 October 2025.
Rest assured, we will carefully validate the data to ensure a seamless transition once it is restored. If you have concerns beyond what we can reasonably anticipate, we encourage you to engage directly with the Integration Services team before this time.
